How to tell that your accounting is being done incorrectly

You pay for accounting services, but you constantly feel that something is wrong? The tax office sends you letters, reports are filed at the last minute, and you don’t understand how much you actually earned?
Experts from the accounting services company Wikielson have put together a checklist of warning signs. If at least a few items on the list match your situation, you need an accountant with a different approach.

You constantly receive letters from the tax office

This is the first and most obvious marker of problems. The tax office doesn’t write for no reason. If the letters have become regular, it means there are systematic errors in your accounting reports.

Signal What it indicates
Letters from the tax office demanding an explanation of discrepancies Errors in JPK_VAT or data mismatch with the bank
Notices of delays Submitting accounting and tax reports after the deadlines
Requests to correct declarations Errors in CIT, PIT or VAT (VAT in Poland)
Letters about the start of an audit Accumulation of violations or suspicious transactions

What to do: Order an express audit of your accounting to find the root of the problem. An audit of financial statements will help you understand where exactly discrepancies arise.

Your accountant does not answer questions or answers vaguely

A good financial accountant is your partner who explains numbers in plain language.
Warning signs:

  • You ask the accountant a question and get a vague answer or no answer at all.
  • Tax consulting advice from an outsourced accountant costs extra money (even though it should be included in the subscription).
  • You don’t understand how the amounts to be paid are calculated.

Want to check your accountant? Ask them a simple question: “Why did ZUS go up/down this month?” A professional will explain the reason within a minute.

You don’t see a clear structure of expenses and income

Accounting for a limited liability company or sole trader should give you a clear picture of your business’s financial health at any moment. If it doesn’t, the problem is not with you, but with how the organization’s accounting is being handled.

Checklist of good accounting:

  • You have access to monthly reports.
  • You understand which expenses can be deducted and which cannot.
  • Accounting and tax consultations take place regularly, not just when a letter from the tax office arrives.

If at least one item is missing, you need an accountant who works transparently.

Reports are filed at the last minute or late

The cost of an accountant’s consultation is nothing compared to the fines for delays. If your current specialist constantly submits documents the day before the deadline or even misses deadlines, that is unacceptable.
Accounting support for legal entities and sole traders from Wikielson includes a reporting calendar with reminders at least a week before the deadline.

You don’t know what KSeF is and how it affects your accounting

2026 is the year of mandatory KSeF (National e-Invoice System) for most businesses. If your accountant hasn’t raised this topic, it’s a red flag.

What a competent specialist should have done:

  • Explained whether you need to issue invoices through KSeF.
  • Set up the integration of your system with KSeF.
  • Checked how the new rules affect the submission of accounting reports to the tax office.
  • Warned that from 2027, fines are foreseen for errors in KSeF.

You do not receive accounting consulting services as part of the service package

A good outsourced accounting company provides ongoing support.
What should be included in a subscription accounting service:

  • Accounting advice at any time.
  • Tax accounting advice when the law changes.
  • Assistance in setting up and maintaining accounting records when starting out.
  • Accounting support during tax audits.

If you are only paying for “bookkeeping entries” and are asked to pay extra for any question, look for another partner.
